Human Resources Coordinator

Reporting to: Human Resources Manager
Duties And Responsibilities
- Supports the smooth and efficient running of the HR function, in accordance with the internal policies and applicable laws, supporting the department all-round
- Ensures that all in-house rules and regulations are communicated to the team and implemented accordingly
- Ensures that personal records are kept updated, neatly and clearly organized (both physical and e-archives)
- Assisting in preparation of Employment Agreements, Annexes and various decisions
- Processing and maintaining of clear and precise records of all labor visas, work permits procedures, flight tickets etc.
- Assisting in coordination of Performance Management system
- Regular inspection and checking of team accommodation, tracking the conditions, eventual complaints and communicating with landlords accordingly
- Implementing innovative ideas regarding team wellbeing
- Monitor the cleanliness and condition of team canteen
- Implements creative ideas in team canteen (specials, holidays, extras...)
- Maintain the internal Notice Board
- Coordinates internal HR events (onboarding, parties, gatherings, presentations etc.)
- Assist other senior members of HR team in their respective duties
- Assisting in the process of obtaining work and residence permits
- Registration of employed persons at the competent authorities
- Field work in relevant partner institutions (Municipality, Health Center, Health Fund, Tax Authorities, Police, Inspector for Foreigners etc.), when required
- Preparation of different reports, as per requests
- Handling daily HR inquiries
- Keeping records of mandatory documents and processes related to Occupational Health & Safety
- Ensures clear communication with team members regarding the necessary documents that need to be kept up to date in personal files
- Maintain the Employee notice board, team shifts board and sharing the updates regularly
- Keeping the HRIS updated (Slogan)
- Following up on all internal procedures with all relevant stakeholders
- Checking on all Time Attendance reports at the end of the month and preparing the data for salary calculation
- Providing every other type of HR support, as needed
Required Knowledge, Skills, Abilities And Other Traits
- High school diploma
- Driver License - B category (and active driving experience)
- Fluent in English – written and verbal
- Ability to speak, read, analyze, and interpret standard of performance manuals, technical procedures, manuals or statutory regulations
- Creative person
- Good understanding of Montenegrin Labor Law, regulations and procedures
- Good understanding of Montenegrin Law on Foreigners
- Prior experience in working with requirements for obtaining work and residents permits
- Prior experience in handling flight tickets, bookings and reservations
- Basic knowledge of Montenegrin visa processes
- Basic knowledge of salary calculation in Montenegro
- Experience in creating various HR reports
- Excellent knowledge of MS Office
- Excellent organizational and multitasking skills
- High level of loyalty and integrity
- Must have experience in a similar roles
- Excellent interpersonal and communication skills
- Ability to coordinate, prioritize and oversee multiple projects
- Ability to be flexible, resourceful, service-oriented, and self-motivated, mentor and develop subordinates
- Ability to take quick action to resolve emergency requests
- Must be able to diagnose problem quickly and accurately and recommend and effect required solutions
