EIIET Berlin invites applications for an administrative and documentation Assistant to join our team in Podgorica, Montenegro.
Role Description:
You will support academic administration and develop our accreditation and quality documents to ensure they are accurate, current, and audit-ready. The job is hands-on: you will prepare templates, version and file documents, track deadlines, and coordinate inputs from academics and partners.
Key responsibilities:
- Maintain the programme file: programme specs, module descriptors, LO–assessment maps, handbooks, policies, and minutes.
- Prepare submission packs for authorities and agencies (e.g., EQF/ECTS alignment tables, staff CV matrices, facilities evidence, QA reports).
- Track accreditation and review timelines, build checklists, and chase actions until closure.
- Version-control documents, manage naming conventions, and keep the master register updated.
- Format and QA documents in Word and PDF, manage references and annexes, and ensure consistency.
- Support data collection for KPIs: admissions, completion, student feedback, external examiner notes, and improvement plans.
- Upload and organise materials on the LMS and document portals (SharePoint/Drive/Confluence), manage access rights.
- Schedule meetings, prepare agendas and minutes, and log decisions with action owners and due dates.
Required qualifications and skills:
- Bachelor’s degree or equivalent experience in administration, education, or related field.
- Strong command of English.
- Solid MS Word, Excel, and PowerPoint skills; confident with PDFs and document styles.
- Excellent attention to detail, organisation, and deadline discipline.
- Clear written communication and a service mindset.
Note: Applicant has to be living in Montenegro.
