Homeowner Coordinator
Rental Department
Reporting to: Rental Manager
Duties And Responsibilities
- Handling the communication with homeowner from negotiations of entering rental program, through necessary preparations and then maintaining good relations and being at disposal of homeowners at all times
- Handling homeowner requests related to rental department and ensuring they are given a 5* service when in property and away
- Maintaining communication with all homeowners who want to join and have joined rental program
- Taking telephone calls and email enquiries, service requests and complaints from homeowners
- Collecting, recording, reconciling and store documentation received relating to rental operations. Paying special attention that all homeowner and apartment documentation is kept both in electronic and printed form.
- Entering data into the corporate database and producing reports for both homeowners and guests, when needed.
- Providing assistance to homeowners with the entire process of entering rental program, which includes but isn’t limited to: communication with homeowners, assistance with completing all requirements for entering the rental program, updating internal tables with the required information, communicating with all internal departments and external companies to assure smooth running process of joining rental program.
- Keeping all records related to homeowner apartments in electronic and printed form such as, but not limited to: rental contracts, inventory lists, snag lists, Telekom lists, apartment registration with authorities, as well as any other list requested by department policies and procedures.
- Being at disposal of homeowners for purposes of updating them on the following: reservation overview, answering questions related to occupancy, pricing, revenue, expenses.
- Responds to all rental enquiries from existing/potential customers and property owners to agreed service levels.
- Assisting rental team with renting apartments, storages and garages whenever it is necessary.
- Conducting regular apartment inspections, finalizing inventory lists, snag lists and other relevant reports which have to be communicated to homeowners timely.
- Maintaining regular communication with homeowners regarding technical issues and other required works in their apartment including, but not limited to: preventative maintenance works, cosmetic maintenance works, de-snagging of the apartment, regular maintenance works and checkups, pop-up technical issues during guest occupancy and after it. This encompasses notifying homeowners of defects, sending respective offers and arranging for payment methods with homeowner.
- Being in constant communication with Housekeeping and Facility Management regarding maintenance of the apartment.
- Acts as the single point of contact for all rental property owners and ensuring their expectations are set, recorded and met.
- Liaises with existing & potential rental customers to share information regarding the destination and their stay and any ensuing issues.
- Works with new and existing rental guests to share information relating to their stay, the property and the services available to them, in order to maximize their customer experience
- Ensures all properties are furnished and ready for occupancy, dealing with & resolving issues.
- Establishes and maintains a comprehensive Database of properties, owners, assets, existing & potential customers and property rates.
- Controls all administration associated with customer queries, and approaches.
- Collects, stores and distributes all occupancy, revenue and expense data to all homeowners for their units on monthly basis.
Required Knowledge, Skills, Abilities And Other Traits
- High school diploma
- Driver License - B category (and active driving experience)
- Fluent in English – written and verbal
- Ability to speak, read, analyze, and interpret standard of performance manuals, technical procedures, manuals or statutory regulations
- Excellent knowledge of MS Office
- Excellent organizational and multitasking skills
- High level of loyalty and integrity
- Must have experience in a similar roles
- Excellent interpersonal and communication skills
- Ability to coordinate, prioritize and oversee multiple projects
- Ability to be flexible, resourceful, service-oriented, and self-motivated, mentor and develop subordinates
- Ability to take quick action to resolve emergency requests
- Must be able to diagnose problem quickly and accurately and recommend and effect required solutions
