Role Description The Event Executive is a full-time, on-site role based at Hyatt Regency Kotor Bay Resort in Kotor. This role is responsible for planning, coordinating, and executing events such as conferences, weddings, corporate meetings, and social gatherings, in line with brand standards and guest expectations. Day-to-day tasks include managing event inquiries, preparing proposals and contracts, coordinating with clients on event details, and creating detailed event timelines and function sheets. The Event Executive works closely with internal teams including sales, food and beverage, front office, spa, and technical services to ensure smooth event delivery and high guest satisfaction. The role also involves on-site event supervision, post-event follow-up, basic reporting, and continuous improvement of event processes and offerings.
Qualifications
- Experience in event planning and coordination, preferably in a hotel or resort environment, with strong organizational and time-management skills.
- Proficiency in client communication, relationship building, and negotiation, with a customer-focused mindset and professional presentation skills.
- Ability to collaborate effectively with cross-functional teams (F&B, operations, sales) and coordinate multiple stakeholders during events.
- Strong attention to detail for creating accurate event documentation, timelines, and function sheets, and for overseeing event setups.
- Comfort with using reservation, event management, and office software (e.g., MS Office, event planning tools); experience with hotel property management systems is an advantage.
- Previous hospitality experience and knowledge of luxury service standards; experience in wellness or resort settings is beneficial.
- Fluency in English, with strong written and verbal communication skills; additional regional languages are a plus.
- Ability to work flexible hours, including evenings, weekends, and holidays, and to remain calm and solution-oriented in fast-paced situations.
- Diploma or degree in hospitality, tourism, business, or a related field preferred, or equivalent practical experience in events and hospitality.
