Main Duties and responsibilities:
- Build and maintain strong relationships with clients to understand their event requirements and objectives.
- Consult with clients to develop event concepts, themes, and budgets tailored to their needs.
- Provide excellent customer service and act as the main point of contact for clients throughout the event planning process.
- Plan, coordinate, and execute meetings, incentives, conferences, and exhibitions from conception to completion.
- Develop detailed event timelines, project plans, and critical path analyses to ensure all aspects of events are delivered on time and within budget.
- Act as liaison between hotel and meeting planner to ensure a successful event. This includes obtaining rooming lists, establishing billing, overseeing group room blocks, welcoming VIP's, overseeing amenity requests, handling on site event logistics, coordinating outside vendors, and enforcing the contract.
- Source and negotiate with vendors, including hotels, venues, catering services, AV equipment providers, and transportation companies.
- Coordinate all logistical aspects of events, including travel arrangements, accommodations, transportation, catering, and on-site support.
- Plan group's food and beverage events, including assistance with menu and wine selection, decorations, entertainment, and audio visual.
- Meet the client upon arrival and conduct preconference review, including the introduction of Department Heads, overview of events, and guest arrival details.
- Maintain contact with all clients in the market area to ensure high levels of client satisfaction with accountability and follow up
- Oversee event setups, registrations, and attendee management to ensure a seamless event experience.
- Manage event budgets, track expenses, and provide regular financial reports to clients.
- Collaborate with internal teams such as marketing, design, and production to create engaging event materials and promotional activities.
- Supervise and coordinate the work of supporting staff, including event coordinators and assistants.
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
- Implement best practices and lessons learned from previous events to enhance the quality of future events.
- Other duties assigned by Director of Sales and Marketing.
- Have at least 2-3 years of experience working in a similar role within the hospitality industry.
- Fluency or advanced proficiency in one or more foreign languages is highly desirable and English is mandatory.
- Bachelor’s degree in Event Management, Hospitality, Business, or related field is desirable.
- Proven experience as a MICE Manager or in a similar event management role.
- Strong project management skills with the ability to multitask and prioritize effectively.
- Excellent communication, negotiation, and interpersonal skills.
- Proficiency in event management software and Microsoft Office suite.
- Attention to detail and ability to solve problems under pressure.
